Technician Efficiency Formula

Efficiency measures how fast a technician completes work compared with the hours billed for it.

Formula

Technician Efficiency % = Flagged (Billed) Hours ÷ Clocked Hours on Jobs × 100

Worked example

EXAMPLE NUMBERS ONLY – not industry benchmarks.
Example numbers: a tech flags 45 hours and is clocked on repair orders for 38 hours. 45 ÷ 38 × 100 = 118% efficiency.

FAQ

Can efficiency be over 100%?

Yes. It means the tech finished jobs in less time than the hours billed.

What hours count as clocked?

Time punched onto repair orders, not total time at work. Total attendance is used for productivity.

Is there a spreadsheet for this?

Yes, the Pro version of the KPI pack below calculates it for each tech on a technician scorecard.

The Auto Service KPI Template Pack calculates this and other service KPIs. It comes as an Excel (.xlsx) workbook that also opens in Google Sheets (import steps included). The comeback log and per-tech scorecard are in the Pro version.
